Outsourced Process Management
Reap the benefits of an in-house process excellence team without the cost of permanent employees.
What Do We Mean by Process Management?
Put simply, Business Process Management is the art of ensuring that all processes within a business are running efficiently, are scalable, and align with the business’s goals. It is an ongoing process, rather than a single project and should be supported by clear process documentation.
This documentation must be maintained if it is to retain its value and process improvement should be a continuous effort to reflect changing internal and external factors. This makes it critical that there are people who are responsible for ensuring that regular, tracked reviews take place. Changes must be captured and reflected on a timely basis to ensure that all decisions are based off of accurate data.
Why Use An Outsourced Process Management Service?
For most of the clients we work with, it doesn’t make sense to employ someone to do this as there isn’t the workload to make it cost effective. Allocating a percentage of an employee’s time to process management rarely works as they are inevitably drawn back into their primary role, resulting in the process management side falling into disrepair.
To provide an alternative, cost-effective solution to our clients, we offer an outsourced process management service. For most small and medium sized businesses this offers access to expertise and support at a fraction of the cost of a permanent hire. We can devise a package to suit your goals and budget, but it would typically include all of the following:
Managed Quarterly Approvals
It’s critical that all process documentation is kept up to date so that it always reflects the current ways of working. We ensure that you can be confident in your content by running their quarterly approval process, collating any new change requests, and producing an auditable log of all sign-offs from process owners. Previous versions of the maps are always viewable, allowing changes to be tracked over time.
Collate Change Requests
As processes evolve over time, it is important that any changes are identified and incorporated into the process documentation as soon as possible. Although the quarterly reviews can result in changes being raised, they should ideally be made when they happen. This avoids people using out of date content which could lead to confusion. We will collate all change requests and work with you to implement them into the process documentation.
Support Process Improvement
When documenting your processes, our team will always be looking for opportunities for improvement, whether it is efficiency gains, risk reduction or cost savings. These will be raised to you and a decision can be made as to what, if any, action should be taken. We can also undertake more detailed analysis of a process or department to provide an in-depth view of the current challenges and the opportunities for improvement.
Regular Reviews
We will conduct regular review meetings with you to agree the deliverables and direction for the next period. We will produce a status report containing a health check of the process content, updates on actioned and planned work, as well as open change requests and improvement ideas. We’ll also discuss any new challenges or developments in your business that might need to be brought into the scope of work.
Drive Employee Engagement
Engaging your employees in contributing process improvement ideas is a huge opportunity for your business. We will help you to put a structure in place to encourage the submission of ideas. We will collate and perform an initial review of all ideas raised, providing feedback where appropriate. Viable ideas will be reviewed with you to determine which can be implemented. The implementation can be handled by you or with our support.
